We know that time zones can be quite confusing at times, so we made sure to build features that will make managing time zones easier. In this support article, we will go through:
- How to set up a business time zone
- How to manage staff taking appointments in multiple time zones using the online/phone location
- What your customers see on the booking page
How to set up a business time zone
If you head over to “Set Up” > “Business Details” you will be able to set up a time zone at the bottom of the page. The list of available time zones is limited to all the time zones available in the country your business is located in.
The time zone of your business will be used for all bookings taking place at your business premises and it’s the main time zone for all staff (unless you change their time zone as per the instructions below).
How to manage staff taking appointments in multiple time zones using the online/phone location
In the example below, we will show you how you can set up a fully remote team taking appointments over the phone or online. To get started you will need to add your staff under “Set Up” > “Staff”, find out more here.
Once added you can set up their time zone on the staff profile, using the drop-down provided.
As you can see Frederick K is set to be based in America/New_York (UTC -5) and while it is not shown in the screenshot, my time zone is set to Pacific/Honolulu (UTC -10). These two time zones, as well as the business’s default time zone, can now be used throughout the product.
To set up Fredrick K’s working hours under “Set Up” > “Availability”, find out more here. When setting up their working hours, you can choose to do this in either the organisation's timezone or the staff member's timezone by selecting the option as shown in the image below.
Now that Fredericks working hours are set up, let’s have a look at his calendar. You can access it via the “Calendar” option in the top-left corner of the screen. Similarly, you can choose which timezone to use when viewing your calendar: (yours, the staff, or the organisation's timezone). This can be accessed via the “Options” button on the calendar.
As you can see below, when viewing the calendar in different times zones you will see a ruler on the left-hand side showing you time times in the different time zones (your businesses and the one you are viewing the calendar in).
When booking an appointment you will get the same options (your time zone, the staff's time zone, the organisation's time zone) as well as the option to view in the customer's time zone too - find out more in this article.
What your customers see
When your customers access your booking page and try to book a service that takes place at the location option Online/Phone. At the top of the slot selection, they can also see their time zone and change it if they wanted to.
In the communications sent to your customers, we will only show them the appointment time in their time zone.
